Rental Guidelines for Tempe campus

All guidelines, policies and procedures have been put in place with patron and facility safety in mind, as well as ensuring use of our facility is in accordance with all state and university regulations.

  1. Reservations must be submitted via the Sun Devil Fitness Complex Facility Rental Webpage.

  2. Reservations must be made at least 3 weeks in advance. 

  3. Any cancelations by community groups after two weeks prior to the event will forfeit their deposit.

  4. Any cancelations by student organization* or university departments within one week prior to the event will be result in a cancelation fee that will be the equivalent of two hours of personnel costs, most typically $20.50.

  5. Food must be approved by the Sun Devil Fitness Complex. You must have an approved food waiver from the Memorial Union. FOOD WILL NOT BE PERMITTED WITHOUT A COMPLETED WAIVER.

  6. A formal rental agreement, or contract, must be issued by the Sun Devil Fitness Complex. This is required before reservation is considered officially reserved. All contracts must have the signatures of both parties.

  7. Exact details of the event must be submitted to and approved by the Sun Devil Fitness Complex. This is required before reservation is considered officially reserved.

  8. All necessary university paperwork (EH&S Fire and Safety Permit, Food Waiver, Proof of Insurance, etc.) must be completed and all associated fees must be paid. This is required before reservation is considered official reserved.

  9. A deposit, if necessary according to agreement or contract, must be received by specified date. Required before reservation is considered officially reserved.

  10. In addition to the rental fee, additional cost may be associated to the event for set-up, security, site supervisors and clean-up.

  11. The Sun Devil Fitness Complex reserves the right to cancel the event based on inclement weather, or any unforeseen circumstances.

  12. Non-University Groups, even if sponsored by an Arizona State University Organization, are required to provide a $1,000,000 certificate of liability insurance listing Arizona State University, the Arizona Board of Regents, and the State of Arizona as additional insurers.

 * All ASU student organizations must be registered at the SORC located on the 3rd floor of the Memorial Union. Student Organizations may only reserve up to two dates per semester.
