Sport Club Travel

My club is getting ready to travel in a few weeks, what do I need to submit to the University?

Submit the following forms* to the Sport Club Information Desk no later than 5 days before you depart

  1. Travel Authorization Form (PDF 27KB)
  2. On travel roster, write “driver” next to each person who is going to drive.
  3. Submit to SDFC Information Desk.
My members are asking for a Class Excuse Letter, do you supply these? What do I need to do

I am supposed to get reimbursed for our travel, how do I do this?
  1. Submit a Travel Expense Claim Form (PDF 152 KB) no later than 7 days after your travel. 
  2. All receipts must be legible and detailed. The receipt must show payment was made and cannot have a balance. Hotel receipts must be the detailed receipt showing each day and the breakout of charges. Gas receipts cannot be prepaid receipts, they must show how many gallons were pumped and the cost per gallon. Rental Car receipts must have the rental agreement attached. All rental car drivers must have proof of defensive driving, must be an ASU student, and must submit a copy of their driver’s license.
Can the University give me a travel advance? The Sport Club program cannot give travel advances.

Coach Registration

Does my coach(es) need to register as a sport club participant?

Facility and Event Information
We want to reserve one of the gyms or fields from the Sun Devil Fitness Complex, can we do this and if so, how much does it cost? The facility space is free to all sport clubs.
How do I reserve the space?

Please submit all request to [email protected] at least two weeks prior of event.

What if I want to reserve a room or space in another University facility besides the Sun Devil Fitness Complex? How do I reserve a table on the mall?

Can I bring food in for my reservation? It depends on the type of event being held. When filling out the facility request form please indicate what types of food/drink you would like to provide. A food waiver form must be approved at least two weeks prior to event.

How to start a Sport Club

I want to start a sport club on campus, what do I do?

I don’t meet the requirements of being a sport club, how do I just become a Student Organization on campus?
